Step 1: Prepare Your QuickBooks Desktop File
Make sure your QuickBooks Desktop version is up to date.
Verify the company file size (under 750,000 targets) by pressing F2 or Ctrl+1 to check the Product Information window.
Clean up data if necessary, using the Condense Data utility.
Step 2: Backup Your Data
Create a backup of your company file in QuickBooks Desktop before starting the migration.
Step 3: Sign Up for QuickBooks Online
Sign up for QuickBooks Online if you haven’t already. You have 60 days from the account setup date to import your QuickBooks Desktop data.
Step 4: Start the Migration Process
In QuickBooks Desktop, go to Company > Export Company File to QuickBooks Online.
Log into your QuickBooks Online account when prompted.
Step 5: Select Your Data for Transfer
Choose whether to import all data or specific lists and balances.
Follow the on-screen prompts to confirm your data selection.
Step 6: Review and Complete the Migration
After the migration, review key reports such as the Trial Balance and Balance Sheet in both QuickBooks Desktop and QuickBooks Online to ensure accuracy.
Make any necessary adjustments, such as reentering payroll details or sales tax adjustments.
Step 7: Integrate Third-Party Apps
If you were using QuickBooks Time or other apps with QuickBooks Desktop, make sure to re-integrate them with QuickBooks Online.
